In order to ensure a smooth transition from Mindbody (MBO) to Walla, you'll want to follow the steps below to prepare your data for export.

Record Future Cancellations and Suspensions


Future Cancellations

Walla cannot identify plans that are due to be canceled in the future within your current software based on reporting capabilities.

  • The studio will need to resubmit the scheduled cancelation in Walla as their plan will be brought over as Active.

  • We suggest keeping track of any active cancelations/cancelation requests to ensure your clients retain their plan cancelation post migration.

Active and Future Suspensions

  • For MBO clients, you should be able to run your Autopay Detail report to identify Suspended Memberships (this will not give you suspension dates)

  • A suspended membership will not migrate into Walla as we only migrate “Active” plans. The studio will need to resell the client a new plan once their suspension is due to be lifted.

Plan Sharing / Pays for Relationship

  • Walla does not currently accommodate shared plans or pays for relationships

    • Identify any clients that are sharing plans and ensure that they both have unique emails to ensure they are brought over to Walla.

    • The client who “owns” the plan or pays for it, will retain any and all plans on that client account. (ie. John is paying for 2 plans - 1 for John and 1 for John Jr. - John will retain both plans and John Jr. will retain nothing)

  • Learn more about how you can do this in Walla AFTER migration!

Merge: Merge all duplicate clients

  • If multiple clients use the same email address and pricing option in Mindbody, only 1 client will be imported into Walla. This is dependent on which client shows up first within the Mindbody Client Report in your Data Export.

    • ie. Mom and Daughter share the same email - daughter is the first record in the client export. Daughter will be the client that is imported and Mom will be skipped.

    • All of Mom’s historical visits and sales records will also not be tied to the daughter’s account.

  • If there are duplicate clients with different email address, they will be imported individually to Walla

SUGGESTED

Search: Run an advanced client search and look for clients missing their email addresses—and try to fill in as many emails as possible

  • Clients without an email will not be transferred

Active Pricing: Run your Autopay Detail and Visits Remaining report to see what old pricing might be active

  • All monthly rates for your auto-pays will need to be created in Walla

Settle Up: Resolve outstanding account balances

  • This includes account credits and account balances (money owed to the studio)

  • If the credits and balances are accurate you can choose to migrate these to Walla

Collect: Collect for unpaid classes

  • Unpaid visits or upcoming reservations will not migration to Walla

  • If you do not wish to collect past unpaid visits, you can ignore them and they will not migrate over

Check Gift Cards: Run gift card report by prepaid, unassigned and assigned to see all outstanding gift cards

  • Assigned gift cards will migrate over on the client's account as an account credit

  • Save your export for future reference for unassigned and prepaid gift cards that are unused

Clean Up: Remove old retail items so a clean report can be exported for Walla to import

  • To find all retail, run the inventory on hand report

  • If you prefer to start from scratch, export the inventory on hand report for historical reference

Data Export: Here is a list of the data you will receive from MBO in your data export.

  • If you wish to retain any additional data, including payroll, business stats, etc. please export these before your MBO subscription terminates
