Class Booking and Waitlist Settings

The Booking & Waitlist Settings allow you to set who can book a class, how far ahead clients can book a class, restrictions on when booking time is cut off before or after class start, enabling waitlists and setting waitlist spots, and comp rules for waitlists.

To access Class Booking & Waitlist Settings:

  1. Select Classes from main navigation

  2. Select Go on the class tile you are wanting to update

  3. Select Booking & Waitlist Settings, located among the main toolbar tabs


Edit Who Can Book Online

If you’d like to restrict you booking to Members only or not allow anyone to book online, set Who Can Book Online? to Anyone.

Edit Class Booking Windows

If you are finding that your clients are not able to book classes past a specific date or if you are wanting to restrict how far out your clients can book a class, adjust the Open booking window timeframe. If you want to allow clients to book past the start time of a class or if you want to close booking before the start of class, adjust the Close booking window timeframe.

Open Booking Window

The "Open Booking Window" refers to the time frame in which clients can make reservations for a specific class. It is the period during which clients are allowed to book ahead.

To adjust when your Booking Window Opens:

  1. Select Classes from main navigation

  2. Select Go on the class tile you are wanting to update

  3. Select Booking & Waitlist Settings, located among the main toolbar tabs

  4. Select the edit pencil next to Open Booking Window and enter the number of days you'd like to have your client's book out.

  5. Save

Close Booking Window

The "Close Booking Window" refers to the time frame during which clients can no longer make reservations for a specific class. It allows you to set a deadline before or after the start of the class when clients are no longer allowed to book spots.

To adjust when your Booking Window Closes:

  1. Select Classes from main navigation

  2. Choose Go on the class tile you are wanting to update

  3. Select Booking & Waitlist Settings, located among the main toolbar tabs

  4. Select the edit pencil next to Close Booking Window and enter the number of minutes you'd like to allow your clients to book up until the start of class or after the start of class.

  5. Choose Before or After

    ​Before: Choose Before to have the booking window to close a specified period of time before the start of class.
    ​
    ​After: Choose After to have the booking window to close a specified period of time after the start of class.
    ​

  6. Select Save

Open Gym

If your business offers Open Gym, you must set your booking window to close AFTER the start of class to allow your clients to book into Open Gym. For example, if your Open Gym starts at 5pm and has a 60 minute duration, you will set your booking window to close 60 minutes AFTER the start of class. This allows your clients to sign up via the Walla App, Branded App, and Class Self Check-in app.

⏳ Waitlists

Under Booking & Waitlist Settings, check Enable Waitlist? to allow clients to waitlist the class. Below the checkbox, set the number of waitlist spots available for booking.

Enable Waitlists for a Class

You can enable waitlists, set number of waitlist spots, and set waitlist comp settings at the class type level.

Follow these steps to enable waitlists for a specific class:

  1. From the main navigation menu select Classes

  2. Select Go on a class tile

  3. Choose the tab Booking & Waitlist Settings.

  4. Edit:

    • Enable Waitlist βœ…

    • Set Number of Spots

    • Set if comps can waitlist

Enable Waitlist? This setting will allow you to set the number of waitlist spots for a class.

Number of Waitlist Spots: This setting allows you to enter the number of available waitlist spots.

Allow Comps To Waitlist? If this is set to no, clients with $0 plans, such as staff memberships, are considered comps and will not be able to waitlist. Plans discounted at 100% are not considered waitlist comps. Comp passes are also considered a waitlist comp.

The Waitlist Closes Window is set in the Waitlist Settings section of the Classes/Enrollments Waitlist & Cancelation menu located within Business Settings.

⚑ Note about Waitlist Comps Allow Comps to Waitlist? Setting

The setting "Allow Comps to Waitlist" in Class Booking & Waitlist Settings determines whether clients with comped access can be added to a waitlist. Here's what is considered a comp under this setting:

Comp Passes under a client's profile: Yes, Comp Passes issued under a client's profile are considered comps.

Plans created at $0 under Plan Management: Yes, plans created with a monetary value of $0 under Plan Management are considered comps.

Plans Created with a Monetary Value and Discounted 100% at Checkout:
No, plans that are created with a monetary value and then discounted 100% at checkout are not considered comps.

Guest Passes:
No, guest passes are not considered comps. Clients booking with a guest pass will be able to book regardless of this setting.

➑️ This is different from how comps are counted for payroll headcount.
Waitlist comp settings are managed separately from payroll settings.

How Waitlists Work

  • Clients can book multiple or overlapping waitlist spots.

  • Waitlisted clients stay visible on the check-in screen even after class starts

When a Spot Opens

  • Clients are automatically added to the class as long as it is before the waitlist lock window.

  • Transactional Notifications must be enabled to alert clients.

  • No email is sent for waitlist position changes (only shown in schedule view).

⚑ Important Waitlist Refund Behavior for Drop-Ins

If a client books a waitlist spot using a drop-in, the drop-in will always be refunded to the original payment method β€” even if your Refund Policy under Classes/Enrollments is set to refund to Account Balance.

➑️ For example:
If a client purchases a drop-in with their credit card and your policy normally refunds to Account Balance, the system will still refund the drop-in back to their credit card if they don’t get into the class.
