About This Feature
The Plan Change feature lets you update a clientâs membership planâwhether you're upgrading, downgrading, or making lateral changesâwhile keeping their future bookings intact. This avoids the hassle of manually rebooking classes and gives your clients a seamless experience.
Where You Can Find This Feature
Youâll find this feature in the Client Profile under the Overview tab. To use the Plan Change feature, follow these steps:
From the clientâs profile, go to the Overview tab
Scroll down to the plan youâd like to change
Click the three dots in the upper right corner of the plan tile
Select Change Plan
Choose from the list of eligible plans
Indicate whether itâs an Upgrade, Downgrade, or Neither
The plan change will take effect on the next billing cycle
Once confirmed, the plan tile will display Plan Change Scheduled
Plans can only be changed on cycle. That means the clientâs plan will switch once their next payment is due.
What This Feature Does
This feature allows you to change a clientâs plan with the option to preserve their upcoming bookings.
How It Works
When you change a client's plan, Walla prompts you to select a new plan and confirms details like start date and billing. Youâll then choose whether to keep or cancel future bookings.
If you keep bookings, all eligible bookings in the next cycle transfer to the new planâeven if there arenât enough passes. Any overflow will be marked for comp passes.
âïž Settings and Options
Select a New Plan
Choose any eligible plan to switch the client into. The change will take effect on the next billing cycle start date.
Upgrade / Downgrade / Neither
Label the type of plan change (used for internal insights and tracking).
Keep Bookings or Cancel?
Youâll see two options when changing the plan:
Keep All Bookings
Transfers all future bookings to the new plan. If there are more bookings than available passes, comp passes will automatically apply.Cancel All Bookings
Removes all future bookings once the plan change is applied.
Review Next Cycle Bookings
Click the âReview Next Cycle Bookingsâ link to preview what bookings will carry over before confirming.
Shared Plans Warning
If the current plan is shared with another client, a warning will appear letting you know the shared access will reset. Youâll need to re-add the shared user once the new plan takes effect.
Tips and Best Practices
â Always review next cycle bookings before finalizing a plan change to make sure no classes are missed.
đ« If there are more bookings than passes, Walla automatically assigns comp passes. You can manually adjust or cancel them later if needed.
đ„ Changing a shared plan? Make a note to re-add the shared user after the change is complete.
đ Plan changes only go into effect at the start of the next cycle, be sure to communicate that to your client.
đŹ Always review and confirm customer profiles and payment methods before making changes to avoid service interruptions or billing issues.
