Common questions about class and appointment plans

Plan Payments

Can I pause a plan with a failed payment?

Pausing isn't an option in this case. However, you can cancel the current plan and set up a new one that starts at a later date. Keep in mind the client's bookings will be canceled upon canceling the plan.

Can I add a payment schedule to a plan or charge for a refunded payment?

You can not add a payment schedule to a plan or charge for a payment that has already been refunded. However, if you need to charge a client to collect revenue you can follow these steps:

  1. From the client's profile scroll down to the bottom of the Overview Tab and select Adjust account balance

  2. Choose Charge clients account and enter the amount owed

  3. Save

  4. Select pay balance

  5. Select the card or payment method you would like to use

  6. Charge the client

Note that collecting funds this way will potentially affect your payroll if you use percentage pay rates.

Can a client still book a class if their recurring plan payment was refunded?

Refunding a plan payment does not affect the clients ability to book classes.

Is it possible to change the payment dates for a plan with a failed payment?

While you can't adjust the dates on the existing plan, you can cancel it and sell a new plan. Keep in mind the client's bookings will be canceled upon canceling the plan.

Can a failed payment be removed from a plan?

Removing failed payments from plans is not possible within the software. You can cancel the plan and sell a new plan that starts on a later date. Keep in mind the client's bookings will be canceled upon canceling the plan.

When are recurring plan payments processed?

Plan payments processed at the same time of day they were originally sold at. For example, if I purchased a monthly plan at 1:00 PM PST on January 1st, my payment in February will process at 1:00 PM PST on February 1st.

What is a Limited Usage-Based Renewing Plan?

A limited usage-based renewing plan provides clients with a set number of classes that renew automatically once all classes have been booked. This type of plan ensures your clients' continuous access to services according to their frequency of use.

When are clients charged for their Limit Usage-Based Renewing plan?

Clients are charged when they book their last class, not when they attend it

What happens if a clients passes expire on their Limited Usage-Based Renewing plan?

If passes expire, the plan cancels automatically.

Can I edit the payment method or price of the next payment for a Limited Usage-Based Renewing Plan?

No, payment information can't be edited for this type of plan.

What does "Stop Auto-Renew" mean?

Stop Auto Renew disables the plan from automatically billing once the client's last class has been booked. This does not cancel the plan, and the client's plan & passes will remain active until the last class is used or until the plan expires. You cannot undo this action. Once auto renew has been stopped, no future payments will be associated with that plan.

Is there a way to create a Limited Subscription-Based Renewing Plan where the unused classes "roll over" or don't expire?

No, unused classes cannot be rolled over or saved. When the next payment processes, a new batch of classes will appear regardless of how many classes were used in the last cycle.


Plans General

How can I create a plan that has a specific start and end date?

Currently, the expiration date of a plan is set in weeks or months. There is not an option to set a specific calendar date for a plan's expiration date.

πŸ”„ Alternative Option For non-recurring limited and unlimited plans that start on the sale date, if the plan is purchased in studio staff can select the start date at checkout. Then, after the sale, go to the client's profile and change the plan expiration date manually.

Can clients purchase VOD-only or Livestream-only plans through the app?

No. VOD-only and Livestream-only plans are not available for purchase through the Walla App or Branded App. Clients can purchase these plans through your business website, widget, or directly at your front desk.


Guest Passes

How often do guest passes refresh on annual plans?

Guest passes refresh on a monthly/weekly basis, even for annual plans. The refresh occurs on the same date each month based on when you purchased the plan.

If I buy an annual plan that has a duration for six months and I purchased the plan on the 20th of the month, when will my guest passes refresh?

Your guest passes will refresh on the 20th of each subsequent month, regardless of having an annual plan.

What happens to my guest passes if I pause my subscription?

When you pause your subscription, the guest pass refresh schedule is also paused for the equivalent duration. The refresh dates will shift forward by the number of days your plan was paused.

Will I see when my next guest pass refresh will occur after a pause?

Currently, the system does not display an indicator or tracker for adjusted guest pass refresh dates during or after a pause. We have submitted a feature request to address this limitation.
