Payment Methods

What happens to the payment method when I update the credit card for all upcoming payments before a plan change?

The new plan will reflect the updated payment method.

What if I only update the credit card for some of the upcoming payments?

The new plan will not reflect this update and will use the original card on file for the old plan.

How does using account balance for payments affect a plan change?

If you update all or some upcoming payments to use account balance, this change won't carry over to the new plan. The new plan will revert to using the credit card on file for the old plan.

Can I use a gift card for payments during a plan change?

If you update payments to use a gift card, this change won't be reflected in the new plan after the change.

Payment Amounts

Will changes to payment amounts carry over to the new plan?

No, any changes to payment amounts on the old plan will not carry over. The price of the new plan is determined by what's configured under Plan Management.

Plan Change Process

Can I upgrade or downgrade a plan?

Yes, you can choose if the plan change is an upgrade, downgrade, or neither. Labels will be added to both the previous and new plan if marked as an upgrade or downgrade.

Can I schedule a plan change when there's a scheduled cancellation?

Yes, plan changes can occur even when there is a scheduled cancellation on the billing date.

Are there situations where I can't make a plan change?

Plan changes cannot be made when a plan is paused, if a pause is scheduled, or if the plan is in a failed state.

How do plan changes work with multiple locations?

Plan Changes are only allowed for plans that are eligible at the same location as the original purchase. For example, if the original plan was purchased at Location A, the plan change must be set for a plan that can be used at Location A.

Discounts and Trials

Are trial periods applied to the new plan after a Plan Change?

No, if the new plan typically has a trial period, this discount will not be applied to any payments after the change.

Are member discounts applied to the new plan after a Plan Change?

Member discounts are not applied if there is a change in membership status or plan type.

Payment Failures

What happens if a payment fails during a Plan Change?

The plan change is unsuccessful. The original plan is marked as completed with a "Plan Change Failed" label. A new plan must be purchased, and the client is no longer eligible for a plan change.

Can I retry a failed payment linked to a Plan Change?

No, if a payment fails during a Plan Change the plan is marked as completed and a new plan must be purchased.

Limited Usage (Refresh) Plans

When do limited usage (refresh) plans change?

These plans change once all passes are used or at the expiration date, whichever comes first.

Bookings and Cancellations

What happens to upcoming bookings during a plan change?

AWhen upgrading or downgrading a plan, you’ll now see the option to either:

  • Keep existing bookings associated with the original plan

  • Cancel future bookings as part of the plan transition

This gives you flexibility to maintain or adjust your client’s schedule when switching between plans.

Is a cancellation notification sent when upcoming bookings are canceled due to a plan change?

No, system-generated cancellation emails are not sent in this case. If you choose to cancel bookings as part of the plan change, clients will not receive an automated cancellation notification.

What should I do if I forget to schedule a Plan Change?

If you cancel a plan, it cancels all future bookings linked to it. You'll need to rebook those sessions. Check the Plan Details section of the plan on the client's profile to see which sessions are affected.

Miscellaneous

Can the price of the new plan be adjusted during a plan change?

No, the price of the new plan cannot be adjusted during the change. If you want to offer a discounted price, create a new plan under Plan Management and set up the Plan Change to switch to this new plan.

What happens if there's a scheduled cancellation and a plan change?

If a plan cancellation is scheduled before the Plan Change takes place (end of cycle), the plan will cancel and the Plan Change will not occur.
