Plan Cancelation Report

This report will help you better understand why members leave and improve your chances of keeping them around longer

Report Overview

The Plan Cancellations report helps you track and analyze membership cancellations at your studio. This tool allows you to identify trends, understand why members leave, and develop strategies to improve retention.

To access the Plan Cancellation Report follow these steps:

  1. From the main navigation menu select Reports

  2. Choose Plans

  3. Select Plan Cancellations

Hover over the graph on the report to see a breakdown of the cancellation types for that month. This can help you identify any patterns or trends in your cancellations.

Filters

Date Range: Default is the last two months and two upcoming months, Monthly selection.

Location

Reason

Fixable Reasons

  • Bad experience

  • Schedule conflicts

  • Class fit issues

  • Financial concerns

  • Other issues

Non-Fixable Reasons

  • Injury

  • Maternity/paternity leave

  • Membership changes

  • Relocation

  • Vacation

Plan Changes

Plan Changes are not included in this report because they are considered to be Upgrades and Downgrades, they are not considered cancellations. The Membership changes Non-Fixable Reason is manually selected

Report Data

Report includes intro offers, class plans, appointment plans, and credit bundles.

Fixable Reasons

These are cancellation reasons that you potentially have control over and could address through changes or improvements.

Non-Fixable Reasons

These are circumstances beyond your studio's control, typically involving personal life changes.

Message Clients

To message clients from a report,select one or more clients on the report and click on the "Message" button. This will open a new message window where you can compose your message and send it directly to the selected clients.

This feature is especially useful for following up with clients who have recently cancelled their membership. By reaching out to them directly, you can gather feedback and potentially retain them as clients.

Editing Cancelation Reasons

Once you put in a reason for cancellation, it's set in stone - you can't edit or change it later.

Client Profile Notes

Your best friend here is the client profile notes system. Use it to write down everything about your follow-up efforts - when you contacted them, what they said, and any special circumstances. There is not a way to track follow ups on this report. Or, you can also create a tag system to help organize your win-back campaigns and prioritize who to follow up with first.
